Work Order
The atomic record of a single maintenance task — from creation through execution to closeout.
Definition
A work order is the structured record of a single maintenance task owned by the maintenance team. It captures the what, where, who, when, and how of the job and is the unit of execution tracked by every CMMS.
Anatomy of a work order
- Title and description
- Asset and location
- Priority and SLA
- Assigned technician / team
- Procedure / checklist
- Parts needed (job BOM)
- Status, timestamps, audit trail
- Completion notes, photos, signatures
Work order vs service request
A service request is submitted by someone outside maintenance. A work order is created (sometimes from a request, sometimes from a PM schedule) by the maintenance team. Many teams mistakenly collapse the two, which breaks backlog and SLA reporting.

FAQ
Common questions about Work Order.
Yes, but it is usually cleaner to have one work order per asset per intervention. Multi-asset jobs are better modeled as a parent WO with child tasks.
